Respond to Please Checks

When a parent/guardian receives an Absence Notification, they have 3 options:

Approve – if the student is absent

Mark as Late  if the student was or will be late

Please Check – if they believe their student should be in school (marked incorrectly on roll)


The “Please Check” Function

The Please Check feature is a critical daily task.

When a parent taps Please Check, they are telling the school that their student should be present. This must be reviewed and actioned promptly each day.

We recommend that office staff manage this process, as teachers and Year Heads are typically engaged in classes.

Note: The Absence Request Forms and Please Check features are only available to schools that have implemented Attendance Form Management.

Email Notifications You May Receive

1. “URGENT: Error in the Roll Call”

This email means:

  • A parent has selected Please Check
  • They believe their child is in school
  • The email instructs you to log in to the Dashboard and take appropriate action.

You must:

  • Check your attendance system
  • Confirm whether the student is Present, Late, or Absent
  • Update the system accordingly

2. “URGENT: My student will be late today”

This email means:

  • The student was flagged absent
  • The parent expects the student to arrive late

What happens next:

  • The Absence Request will be held until the end of the day
  • If the student signs in late, the Absence Request is automatically cancelled
  • If the student does not arrive, the Absence Request will be re-sent to the parent the following morning
  • No action is required immediately unless the student’s attendance needs correcting.

Pro Tip:

You can abort a Please Check if you do not wish to notify the parent by clicking the Edit option on the far right and changing the status to “Aborted”.

 

Please Check Steps:

  1. Click Please Check from the Attendance Overview on the Main Dashboard.
  2. This will show you all pending Please Checks submitted by parents/guardians.

 

  • From here, we need to check if the student is present or absent.
  • The first approach should be to check subsequent class roll calls to verify if the student has been marked present or not. 
  • In certain circumstances, you may want to physically check the school grounds to confirm if the student is present. 
  • Once confident, proceed with the appropriate steps as outlined below. 

 

Scenario 1:  Student is Present

  1. Select the student from the list by ticking the checkbox to the left
  2. Click the “In Class - Cancelled” button

3. Perform on of the following:

Mark as Present if the student is in school and perhaps it was a mistaken roll call

or 

Mark as Late if the student came in late and bypassed the Digital Sign In Device

or 

Mark as School Activity if the student is at a football match or on a trip.

This will cancel the Absence Request and the parent/guardian will receive a notification outlining if they are late or present.

 

Scenario 2:  Student is Absent

  1. Select the student from the list by ticking the checkbox to the left
  2. Click the “Not In Class - Confirmed” button

This will send the below message to the parent/guardian and they should complete the Absence Request Form. 

“We have checked and confirm your child [student name] was not present at the AM roll call or subsequent roll calls on [date]. If you expected your child to be in school we suggest you contact them directly to see if they have been delayed in arrival. Otherwise if you are aware that they will be out today please complete and submit the Absence Request Form from Attention Please section. Many thanks. The Attendance Team.”

 

 

How do school staff receive email alerts about Please Check? 

If you are not seeing the Absence Request Forms tab, this means you do not have access and you are required to be added. Please contact Senior Leadership or School Admin staff. They can refer to the below guide or contact us.
