Manage Lates

The Attendance Overview page offers a streamlined way to view and manage student lates, including late notes submitted by parents or late requests sent out by Unique Schools. Late requests are sent to parents when the student signs in late on the Digital Sign In (DSI) Device without a note submitted or when a staff member marks the AM/PM roll as Late Unexplained. 

 

Important Note:

It is essential that students sign in on the Digital Sign-In (DSI) device for all instances of lateness, even if a parent has submitted a note in advance. This ensures accurate recording of arrival times and that parents are promptly notified of any late arrivals via the school app. 

 

 

How to View and Manage Lates

Accessing Attendance Overview:

  • Navigate to Lates from the Attendance Overview on the Main Dashboard.
  • To view lates for a different date range, use the date filter at the top of the page.
     

Viewing Assigned Student Data:

  • Depending on your role, you will see specific student groups:
    • Year Heads: Only assigned year groups (e.g., First Year Head sees First Year data).
    • Principal, Deputy Principal, Attendance Officer, or Office Staff: Access to all student data.
       

Filters & Status:

These filters can be used for adding students to detention. You can quickly and easily find those students over a certain amount of unauthorised lates for a specified date range via the filters.

Use the different filter options to narrow your search:

  • Authorisation Status
    • Authorised: For Authorised meaning late with a valid reason
    • Unauthorised: For Unauthorised meaning late without a valid reason
    • Pending:  Awaiting parent to submit late note
  • Sign In Status: Whether the student actually signed in via the Digital Sign In Device (Tablet) at reception. 
  • Late Arrivals > = 
    • Allows you to filter by over a certain amount of lates (massive timesaver!)
  • Note Status: 
    • Note Received: Note has been submitted by the parent
    • Pending: Note has not been submitted by the parent
       

Action Buttons:

These buttons on the top right can be used for adding students to detention, manually adding a late request, deleting a late request and exporting. 

  • Add Late Request: This would be used in cases where the student has bypassed the sign in device and the school want the parent to receive a late notification and be marked late. 
  • Add To Detention: After using the filters to find your set of students who came in late, you can add them straight to a Detention session from here. Find out more on that by clicking the “See more on Detention Manager here” button above. 
  • Delete: Use this to delete late record(s).
  • Export: 
    • Generate an Excel sheet of your lates.
    • Not recommended - Exports become outdated the minute the parent explains a late. Use the Dashboard as it updates in real time.

Information Displayed in the Late Note Tab

For each late, the following details are available:

  • Student Name: Clickable to open the Student Profile page for more detailed information.
  • Year & Class: The student's current year and class group.
  • Planned Arrival: Date & time the parent believes the student to arrive.
  • DSI Sign In: Actual Sign in time of the student (If no data present, they have yet to sign in).
  • Reason & Further Details: Reason provided by parent & hover over the information ("i") icon to view additional details if provided.
  • Status
    • N: For Note Received from parent
    • R: For Requested as the student arrived late without a note
  • Auth. Status
    • A: For Authorised meaning late with a valid reason
    • U: For Unauthorised meaning late without a valid reason
    • P:  Awaiting parent to submit late note
  • Late Arrivals
    • By default (or when date range is Today, the Cumulative days late figure is since the start of the academic year. When you add a range like last week or a custom range, the figure will be cumulative for that date range. 
    • This data is coming from your Attendance System which means if the student skips by the sign in device but then a class teacher marks as late in AM/PM, it will count in the Late Arrivals figure here. 
  • Created: Date in which the parent create the note or the date the late request was sent
  • Send PN Icon:
    • Click this icon to send a templated Personal Notification (PN) to parents regarding the late.

  • View Icon:
    • Use this to view the late in a separate, detailed format.
  • Bin Icon:
    • Use this to delete the late record.
