Use the Absent tab in Attendance Overview to review parent-submitted notes, find unanswered absence requests and check cumulative or consecutive absence days.
Absence request confirmed in error? School staff can cancel the request so the parent no longer needs to submit a note. See Abort an Absence Request Sent in Error.
Note no longer needed, or student present? See Remove an Absentee Note or Mark a Student Present. Parents can remove their own Absentee notes; staff cannot currently delete them.
Accurate roll calls matter. Absence requests are based on the school's AM/PM attendance records. Incorrect roll calls can trigger incorrect notifications. If a parent believes their child is in school, they can submit a Please Check.
In this guide
1. Find the absences you need
- From the main Dashboard, open Attendance Overview → Absences, or open Attendance Overview and choose the Absent tab.
- Check the date filter. Choose the period you need, such as Today or Year to date. Check this before deciding that a record is missing.
- Use the student search, year, class and status filters to narrow the list.
The students you can see depend on your access. Year Heads normally see their assigned years; staff with whole-school access can see all student groups.
2. Understand the status and totals
- Submitted: a parent or guardian has supplied an explanation.
- Requested: a request was sent, but the parent or guardian has not completed it.
- Cum. Days: total absence days since the start of the academic year, based on your attendance system.
- Consecutive Days: the run of consecutive absences associated with the most recent absence.
The Status filter also includes Skipped. Always read the status label rather than relying only on colour.
To review unanswered requests, choose Requested and set the date range you need.
3. Review the details and follow up
- Student name: open the Student Profile for more detail.
- From – To: check the dates covered by the note.
- Reason: review the explanation. Use the information icon where shown for extra details.
- View: open the absence note to check the dates, reason, status, submitter, timestamps and further information. You can also use Send PN from the note details.
- Send PN: use the school's templated Personal Notification to follow up. See PN Templates.
Attendance-system integration: Where your school uses an integrated attendance system, Unique Schools manages the transfer of approved absent notes according to that integration. Continue to keep the school's roll calls and attendance records accurate.
