Staff with a Principal, Deputy Principal or Admin role can use Access & Permissions to manage the access settings described in this guide.
Choose what you need to do
Principal, Deputy Principal and Admin access
In the Access & Permissions tab, choose the role that matches the staff member’s position:
- Principal — for the school Principal
- Deputy Principal — for the Deputy Principal
- Admin — for school office staff
These roles provide broad access to the system, including:
- Submitted medical forms
- Attendance reports
- Parent Notes received
- Personal Notifications marked as private
Attendance and Year Head access
Choose the setting based on whether the staff member needs access across the whole school or only for their assigned year and classes.
Attendance access — all years and classes
Select Attendance from the Type dropdown.
This gives access to:
- Attendance reports for all years and classes
- Submitted medical permission forms for all years
Year Head access — assigned year and classes
- Choose the relevant year from the Type dropdown, for example 1 for Year 1.
- Select the relevant classes from the dropdown to the right.
- Assign the relevant Year Head.
This gives the Year Head access to attendance reports and submitted medical permission forms for their assigned year and classes.
Check the scope of access. Choosing Attendance gives access across all years. For a Year Head, choose the relevant year and classes.
Set up Year Heads for the new academic year
Review all access settings at the start of each academic year. As part of the rollover process, you must recreate the Year Head access records.
Do not edit or reuse last year’s Year Head records. Delete the old Year Head access records and create new ones for the current academic year.
- Delete all Year Head access records from the previous academic year.
- Create a new Year Head record for Year 1.
- Select the relevant Year Head and the current classes for that year.
- Repeat for Years 2, 3, 4, 5 and 6, creating a separate new record for each year.
- Check that you have six new Year Head records — one for each year from Year 1 to Year 6.

Choose who receives Parent Notes
Parent Note access allows parents/guardians to send non-attendance notes to an assigned staff member. That staff member can access the notes sent to them.
We recommend assigning Year Heads and/or school office staff as recipients. Review these assignments at the start of each academic year.
How to update Parent Note recipients
Assign Team Manager access
Use Team Manager access for coaches. This access can be assigned from the Access & Permissions tab.
