When receiving the Absence Request, the Parent/Guardian has the option to either approve the absence if the student is indeed absent or click "Please Check" if they believe their student should be present.
The “Please Check” function is an essential task that must be completed daily. We typically recommend that office staff handle this task, as most teachers and Year Heads are occupied with classes.
Note: The Absence Request Forms and Please Check features are only available to schools that have implemented Attendance Form Management.
When a Parent/Guardian taps on Please Check they believe their student should be in School, so it's extremely important to take action on a daily basis. A Please Check email will be Titled ‘ URGENT: Error in the Roll Call’, the email informs you that you need to log in to the Dashboard to take the appropriate action (see steps below).
Some days you may receive an email Titled ‘ URGENT: My student will be late today’ this email is to let you know the parent/guardian was flagged for a student's absence, and they expect the student to arrive late, we will hold the absence request until the end of the day if the student signs in Late it will cancel the Absence Request; if the student never arrives in Late the parent/guardian will receive the Absence Request again the following morning.
If selecting that the Student is in the School you are required to update your Attendance System to reflect this and update the student from Absent to either Present or Late.
Please Check Steps:
1. Go to your Dashboard
2. Open up the Year Heads Dashboard
3. Click on Attendance Overview & then the Please Check tab
- From here, we need to check if the student is present or absent.
- The first approach should be to check subsequent class roll calls to verify if the student has been marked present or not.
- In certain circumstances, you may want to physically check the school grounds to confirm if the student is present.
- Once confident, proceed with the appropriate steps as outlined below.
Scenario 1: Student is Present
- Select the student from the list by ticking the checkbox to the left

Click the “In Class - Cancelled” button

This will cancel the Absence Request and the parent/guardian will receive the following alerted notification:
“Your child [student name] has been marked present in classes after the AM roll call on [date] and is in school. Staff will follow up to check why your student was marked absent for AM roll call and update the attendance system accordingly. Many thanks. The Attendance Team.”
Scenario 2: Student is Absent
- Select the student from the list by ticking the checkbox to the left
- Click the “Not In Class - Confirmed” button

This will send the below message to the parent/guardian and they should complete the Absence Request Form.
“We have checked and confirm your child [student name] was not present at the AM roll call or subsequent roll calls on [date]. If you expected your child to be in school we suggest you contact them directly to see if they have been delayed in arrival. Otherwise if you are aware that they will be out today please complete and submit the Absence Request Form from Attention Please section. Many thanks. The Attendance Team.”
How do school staff receive email alerts about Please Check?
If you are not seeing the Absence Request Forms tab, this means you do not have access and you are required to be added. Please contact Senior Leadership or School Admin staff. They can refer to the below guide or contact us.
