How to Update Parent Note Recipients

Set up who will receive non-attendance notes

Managing Access & Permissions settings is an annual house-keeping task that should be reviewed and updated as necessary at the beginning of each academic year. Particular attention should be paid to Year Heads as they are more likely to change each year.

You can update which staff members will receive miscellaneous, non-attendance notes from Parents & Guardians. Similar to updating your Year Heads before the start of each academic year, you should do the same with the Parent Note setup. We recommend assigning the School Office & all Year Heads to receive Parent Notes. 

 

The Year Head setup should also be updated before the start of each Academic Year as well. See more on this below.

Updating the Year Head Setup

 

 

1. Go to Access & Permissions on your Dashboard

2. Under the Type column, you should see Parent Note for each year

  • Click on the Edit button located in the far right column

3. The Title should be First Year Head or Second Year Head or School Office etc. (or similar)

4. The Type is not editable. This should be Parent Note

5. Module Access

  • When Individual Email is checked, the recipient will receive an email to inform them of a new note
  • Approval Access - This can be checked so that staff member can Acknowledge and/or Reply to the Parent Note

6. Email - This is where we assign the staff member via the email address they use to login to the Dashboard & Administrator's App

  • It should be the school email address, not a personal one. 

7. Click here to add more Email Addresses - You can add multiple users' email addresses if there is more than one staff member assigned to a single year or office. 

8. Click on Submit
