View & Edit Reports

The Reports tab in the Appendix 3 system allows users to view, manage, create, and export reports related to bullying behavior. It simplifies the process of managing and tracking reports. With features like easy searching, filtering, exporting, and printing, managing reports is now quicker and more efficient. Just remember to handle all report data with care to ensure security and confidentiality!

Key Features of the Reports Tab

Viewing and Editing Existing Reports

  • Click the Reference Number on the left-hand side of a report to open it.
  • Depending on your access level:
    • Admin Users: Can edit all fields of a report.
    • Assignees: May have limited or view-only access.
  • To make edits, update the required fields and click Save & Continue through the entire report to ensure all changes are saved.

Exporting Reports

  • You can export reports as a CSV (Excel) file.
  • The export will include only the basic details visible on the reports screen:
    • Reference Number
    • Student Name
    • Class
    • Time of Incident
    • Created At / Updated At
    • Priority
    • Assigned To
    • Progress
    • Status
    • Closed At / Closed By
  • Sensitive details will not be included in the export, ensuring confidentiality.
  • Exported reports can be shared with the Board of Management as needed.

Printing Individual Reports

  • When viewing a specific report, you have the option to print it.

Important Note:

Be cautious when printing to avoid sharing sensitive information. Ensure the printout is handled securely to maintain confidentiality and compliance with data protection regulations.

 
 

 

Searching and Filtering Reports

Search Bar: Located at the top of the screen. You can search by:

  • Student Name
  • Reference Number
  • Staff Member Assigned

Filter by Status: Use the dropdown menu to filter by:

  • Assigned
  • Open
  • Closed
  • Resolved

Filter by Date Range: You can filter reports by a specific date range to generate lists of reports from a certain period (e.g., academic year or last quarter).

 

 

Managing Report Status

When creating or managing a report, select the appropriate status:

  • Assigned: For reports assigned to another staff member.
  • Open: Indicates that the assigned staff member is actively working on the report.
  • Resolved: The assigned staff member marks the report as resolved once all required actions have been completed.
  • Closed: Admin users can mark the report as closed when the resolution is confirmed and all necessary actions are completed.
