To add incoming first-year (1st Year) students to the School App, contact Unique Schools to arrange an import and onboarding. This can give families early app access—for example, in May before students begin in September.
Admissions, waiting lists or checking enrolments?
Adding students to the app is different from managing a school application or waiting list. This guide covers app access, student imports and registration SMS, not reviewing admissions applications or checking enrolment decisions.
If you are a staff member searching for admissions, waiting list, 1st Year school application or check enrolments, and need help with the school’s admissions workflow, contact staffsupport@uniqueschools.ie. Parents should contact the school about an application or waiting-list position and can use the school application guide.
Early access is separate from rollover. Adding incoming students does not mean the whole school is ready to move to the new academic year. Ask Unique Schools to arrange the incoming-student import and agree when onboarding should start.
1. Ask our team to add the incoming students
Contact staffsupport@uniqueschools.ie to arrange early access. Incoming students will often already be on your school’s student management system.
If our team has access to that system, we can export the information needed and import it into your school’s app database. If we do not have access—or your school uses Compass or another non-integrated system—your school can provide a CSV file instead.
2. Prepare the student and guardian details
For each incoming student, include:
- Student ID — Department / PPOD ID
- Student First Name
- Student Surname
- Date of Birth
- Primary Contact First Name
- Primary Contact Surname
- Primary Contact Mobile Number
- Secondary Contact First Name, where there is a second contact
- Secondary Contact Surname
- Secondary Contact Mobile Number
Provide at least one complete parent/guardian contact for every student. When including a secondary contact, include their name and mobile number too. Accurate mobile numbers are needed for onboarding SMS.
Follow Upload Student List for the full file requirements, including year/class information, country codes and any additional VSware fields.
3. Upload the CSV securely
- Open Administration → Upload Student List on your Dashboard.
- Select and upload the CSV using the steps in Upload Student List.
- Check for the upload date and time. This confirms receipt of the file, not that the import is complete.
Do not email student data. Use the secure Dashboard upload route. Our team is notified automatically when a file is uploaded.
4. Give the go-ahead for onboarding SMS
Our team imports the information and begins onboarding with your school’s go-ahead. The onboarding campaign consists of four SMS batches over four weeks—one batch each week—to encourage parents/guardians to register.
Agree the start of onboarding with our team. Uploading a file and approving the start of the SMS campaign are separate steps.
New students at a VSware school
The VSware connection provides Student ID, Name, Year and Class, but not guardian or staff details.
You do not need to re-enter guardian details for students already in the school app. Their existing guardian details are retained when they roll over to the next year and class—for example, 2A → 3A.
Incoming students already added to the school app move from Incoming → 1st Year, with their class updated to match VSware. Guardian details already added to those records are retained too.
Only new students added to VSware whose guardian details are not already in the school app need those details added. The school can do this by following Add & Edit Students/Staff.
