Removing Students From Your System: What Happens to Their Data

Learn how to properly remove students from your system while preserving their historical data. Understand the difference between marking students as left and deletion, and how automated synchronization handles the process overnight across all platforms.

When a student leaves, update their record in your school’s attendance system first. The linked Unique Schools record is then updated through the overnight sync.

Leaving is not the same as deleting all data. Removing a student from the active school list does not mean every historical record is erased. Payment and billing records are retained.

1. Update the attendance system

  1. In VSware or Tyro, complete your school’s normal process for a student who has left.
  2. Allow the overnight sync to run. The expected update is by the next morning.
  3. Check that the student is no longer on the active Unique Schools student list.

You should not need to remove the same student manually from both systems when the integration is working.

What happens afterwards?

  • Active student list: the student is removed after the sync processes the change.
  • School-app access: access linked to the removed student’s school record is expected to be removed. Check the result rather than assuming access has already ended before the sync completes.
  • Payments and billing: historical records remain available for financial record-keeping, outstanding payments and any required refund handling.

If the record has not updated

If the student still appears as active after the next morning, or you need access reviewed urgently, contact staffsupport@uniqueschools.ie.

For a request to erase historical data, contact support to confirm the separate process. Do not assume that marking a student as left permanently deletes their records.
