Open Reports in Bí Cineálta / Appendix 3 to find a record, check its progress and make updates allowed by your staff role.
In this guide
1. Find a report
Use the search bar to search by student name, reference number or assigned staff member. Use the status and date-range filters to narrow the results.
Click the report's Reference Number to open it.
2. Edit and save
Admin users can edit all report fields. Assignees may have limited editing or view-only access.
- Open the report and review the existing information.
- Update the required fields.
- Use Save & Continue through the report so all your changes are saved.
To create a new record, see Add Report.
3. Understand report status
- Assigned: the report has been assigned to a staff member.
- Open: the assigned staff member is working on it.
- Resolved: the assignee has completed the required actions and marked it resolved.
- Closed: an Admin has confirmed the resolution and completion of the required actions.
Use statuses alongside the school's current procedures and required follow-up, not as a replacement for them.
4. Export or print carefully
Export the report list
You can export the list as a CSV file, which can be opened in Excel. It includes the summary fields shown in the list, such as reference number, student name, class, incident and record dates, priority, assignee, progress, status and closure details.
Print an individual report
Open the report and use its print option when an authorised paper copy is needed.
Exports and printouts may contain sensitive information. A summary export can still identify students and their involvement in a report. Check the contents and recipients before sharing, including with the Board of Management, and follow school policy for secure storage, sharing and disposal.
